AIR TRANSPORTATION:
On economy class flights by any IATA/ARC jet carrier. Airfare based on
negotiated, Special Bulk Group rates, Apex, GIT or other applicable
fares and subject to a minimum of ten persons traveling together
roundtrip and all conditions of the fare used. Upgrading to Business
or First Class is available for additional payment. Please call for
rates.
SURFACE TRANSPORTATION: By motor-coach,
bus, train or boat as indicated in the itinerary. Train transportation
is aboard First Class trains (i.e. express sleepers) on a share basis
in 2, 3 or 4 berth sleeper compartments, subject to availability.
Compartments are never assigned according to any specific group or
gender. Single accommodations on trains are not available.
HOTELS: Double rooms with private bath or
shower in hotels as indicated in the itineraries or assigned by local
agencies. A limited number of single rooms may be available for an
additional charge. Please note that outside of the USA, a single is
generally much smaller than a double and is often not up to the
standard of a single in the USA. While triple accommodations can
sometimes be arranged, few genuine triple rooms exist. Invariably, to
make a triple, a cot or roll-away bed is added to a regular
twin-bedded room. Such accommodations are not recommended for three
adults, nor is there any reduction in cost offered by the hotels.
Triple or single rooms are never guaranteed and no refund will be
given if not provided, unless a certificate from the hotel is received
by ITS Tours within 30 days of the tour’s completion. All hotels are
subject to change at any time. Hotel ratings as per respective
governments or local standards, which may be much lower than the U.S.
standards.
MEALS: As indicated in the itinerary,
meals are provided from a group menu. Beverages are provided only when
they are a part of the group menu for each particular meal. Additional
items, beverages or refills may be purchased from the waiter. While on
train or during transit, no meals are provided. They can be purchased
by each passenger on the spot, whenever available.
TRANSFERS: Transfers are included when
specified. Transfers between airports, rail stations, piers and hotels
by motor-coach/bus are provided only for clients who purchase the
entire air and land package from ITS and do not deviate from the group
itinerary. Individual transfers may be purchased from ITS TOURS.
GUIDES: English-speaking local guides
will conduct all tours as specified.
TIPS & TAXES: Local and state taxes and
all required group tips to hotel and restaurant personnel and group
entrance fees to places in the itinerary are included (except those
listed below under “Not Included”.) Gratuities to tour escort, hosts,
guides, drivers, porters or for services not included in the program
are at participant’s discretion.
BAGGAGE: Free baggage allowance as
determined by each airline. The weight limit of 44 lbs. (including
carry-ons) may apply to flights outside of the USA. Please contact
each airline on your itinerary for specifics. Excess baggage is
subject to additional charges to be paid individually during check-in.
All baggage is carried at owner’s risk. Every care will be taken to
protect your luggage, but the tour operator cannot accept
responsibility for loss or damage to baggage or belongings. It is
recommended that each passenger purchase baggage insurance.
ITINERARY: Every effort will be made to
adhere to the itinerary as stated. However, circumstances beyond the
tour operator’s control (including, but not limited to, schedule
changes, inclement weather, hotel overbooking, break downs of heating,
cooling or water supply systems, etc.) may interfere with the normal
operation of a tour. No monetary compensation can be provided for any
inconveniences beyond the tour operator’s control. Local agencies and
suppliers reserve the right to alter the itinerary or hotels at any
time.
RESERVATION & FINAL PAYMENTS: A deposit
of $250 ($500 for cruises) per person must be received within 7 days
of booking to hold a reservation. Final payment is due at least 45
days (90 days for cruises) before tour commencement. We reserve the
right to cancel any reservation(s) not fully paid on time. For late
bookings received within 45 days (90 days for cruises) of departure,
full payment is required at time of booking. For all individual travel
(FIT/non-group), there is a minimum nonrefundable $25 booking fee.
Late individual bookings are subject to an additional nonrefundable
$25 if reservation is received 30-15 days before departure and $50 if
the reservation is received less than 15 working days before
departure. Insurance premiums, if purchased, must accompany final
payment.
DOCUMENT DELIVERY: Documents or tickets
will not be mailed out until full payment has been received. All
documents are sent via first class mail approx. 2 weeks before
commencement of services booked by ITS Tours. If you prefer to have
your documents sent via express air service, please be sure to include
the additional cost ($25 or more) in final payment and we will be
happy to provide this service for you. Earlier issuance or mailing of
documents may be arranged upon travelers written request for an
additional $25 ITS Tours service fee plus any additional cost imposed
by suppliers or government agencies. This may be arranged only if ITS
Tours is able to obtain all the necessary documents and confirmations
from suppliers before these documents are to be issued.
CHANGE/AMENDMENT FEE: If a change can be
accommodated, a minimum handling fee of $25.00 per change plus
telex/fax and other costs accrued by tour operator will be charged for
each change/amendment to the reservation after initial written
confirmation has been issued by the operator, or after the itinerary
was accepted by the client. These fees and costs are nonrefundable.
CANCELLATION POLICY: The date and time of
cancellation shall be when the written notice is received by ITS. ITS
reserves the right to deny participation to anyone who fails to return
the correctly completed applications, photos, passports and payments
in the time specified. In such cases, all normal cancellation fees
will be imposed. Cancellation fees apply to all cancellations
regardless of cause.
CANCELLATION PENALTIES: All cancellations
must be in writing. Cancellations for escorted/hosted programs
received (during the normal business hours of ITS TOURS) at least 46
days prior to departure are subject to a $50 operations/service charge
per person; within 45 days of departure, a minimum of $75.00 per
person or as specified below, whichever is higher: 45-31 days, 10% of
tour cost; 30-10 days, 25% of tour cost, 9-3 days, 50% of tour cost.
No refunds will be given for any reasons for cancellations received
less than 3 days before departure, for “no-shows” or if a traveler
does not complete the tour after it commences, for whatever reason.
Cancellation rules for individual travel (non escorted/non-hosted,
hotel packages, individual tours, etc.) are any supplier fees and
booking fees imposed by ITS TOURS, plus; 31 days or more before
departure, $50; 30-16 days, 50% of trip cost; less than 16 days, no
refund. Medical reasons are not accepted as proof to waive
cancellation penalties. INSURANCE IS AVAILABLE TO PROTECT TRAVELERS
AGAINST INVOLUNTARY MEDICAL CANCELLATION AND THE PURCHASE OF SUCH IS
RECOMMENDED. ALSO RECOMMENDED ARE BAGGAGE, ACCIDENT AND SICKNESS
INSURANCE. Cost of insurance premium is nonrefundable, regardless of
the reason(s) of cancellation by client. Service charges, booking and
change fees are never refundable.
CLAIMS: Any claims for refunds must be
submitted in writing and received by ITS Tours in College Station, TX
within 30 days of cancellation of services. All unused travel
documents must be returned with claim. No claim request will be
considered after that date. Please allow a minimum of six (6) weeks to
process a claim. Refund requests for absences or unused services are
not granted. A $25 processing fee will be charged for refunds.
Refunds, if approved, are issued and sent to the address of the party
making the actual booking (i.e. travel agency).
OPERATOR CANCELLATION: ITS Tours reserves
the right to cancel any tour prior to departure if minimum
participation is not met or if any other circumstances so warrant.
Every effort will be made to accommodate passengers on another tour or
at passenger's option, entire payment less nonrefundable fees, will be
refunded without further obligation on the part of the operator.
DOCUMENTS REQUIRED: Each passenger must
be in possession of a valid passport. Citizens of the United States
need visas for various countries worldwide. Contact the respective
country's consulate or a preferred visa service for entry
requirements. All travel documents, as well as compliance with all
entry and customs regulations, are the responsibility of tour
participants, not the tour operator.
NOT INCLUDED: Cost of passport, visas,
applicable (US or foreign) departure taxes, customs users fees,
airline security fees, fuel surcharges, airport fees, local Value
Added Tax (VAT), vaccinations (if required,) expenses within the USA
or costs of transportation to or from tour departure point, laundry,
excess baggage charges, room service, wines and liquors, beverages,
meals other than specified and/or items not on regular menus of the
group meals, any items of personal nature, health, accident or baggage
insurance or any items not listed in the itinerary or above as
included. Additional surcharges may be imposed by authorities
depending on route of itinerary.
RESPONSIBILITY: The responsibility of ITS
TOURS (hereafter called the Company) and/or their agents, is strictly
limited. They are not the source or suppliers of services mentioned in
this brochure, and are not to be held responsible if any actual
supplier fails to provide any of the specified services. The Company
acts only on behalf of hotels, airlines, its companies, railroads,
steamship lines, its owners, operators or contractors (all herein
called Contractors) providing services in connection with these tours,
and all coupons, exchange orders, receipts, contracts and tickets
issued by Company are issued subject to any and all tariffs, terms and
conditions under which the foregoing or any such services are provided
by Contractors. The airlines concerned are not to be held responsible
for any act, omission or event during the time passengers are not
aboard their plane or conveyance. The passage contract in use by
airlines concerned when issued, shall constitute the sole contract
between the airlines and purchaser of these tours and/or the
passenger. In the absence of negligence on Company’s part, it is not
responsible for personal injury or property damage or loss arising out
of the act or negligence of any direct air carrier, hotel or other
person rendering any of the services or accommodations offered herein.
The traveler agrees to the foregoing, and also agrees that the Company
shall not be or become liable or responsible for any loss, injury or
default of any person, firm, corporation or other entity engaged to
supply the same. Company accepts no responsibility for losses or
expenses due to delays or changes in air or other services, sickness,
weather, strikes, hotel over bookings, social and labor unrest, war,
terrorist activities, quarantine or any other causes, actions or
omissions, or conditions over which it has no control. The Company
reserves the right to withdraw a tour, to refuse to accept or retain
any person as a member of a tour at any time, or to make any changes
in the itinerary whenever, in its sole judgment, conditions warrant,
or if such changes result from circumstances beyond the control of the
Company, or if it deems necessary for comfort, convenience, or safety
of the passengers. The tour operator and contractors reserve the right
to change the itinerary or hotels at any time. Traveler assumes
complete and full responsibility for, and hereby releases the Company
from, any duty of checking and verifying any and all passport, visa,
vaccination, or other entry requirements of each destination, and all
safety and security conditions of such destinations, during the length
of the proposed travel. The payment for reservations on any tour or
any arrangements shall constitute consent to all provisions in the
GENERAL CONDITIONS published herein. It is specifically agreed that
this agreement is entered into in College Station, Brazos County,
College Station, Texas, U.S.A., and that in the event any legal or
equitable action is initiated concerning the interpretation,
enforcement, or breach of any long term obligation or duty as
contained or related to the terms and conditions set forth in this
brochure, it is specifically agreed that the exclusive venue shall be
solely in the state, county and city of the company's primary place of
business, which is the city of College Station, Texas, U.S.A. All
claims must be made in writing and received no later than 30 days
after completion of the trip. Any agreement between the Company and
any travel agent, traveler, air carrier, hotel, ground operator, or
other tour operator shall be valid only when accepted in writing by
the Company's authorized representative at the office of the Company's
principal place of business.
ALL TOUR PRICES INCLUDE COST OF PLANNING, BOOKING AND OPERATIONS. ALL
COSTS, AIRFARES AND RATES ARE BASED ON TARIFFS, FUEL COSTS AND
EXCHANGE RATES IN EFFECT ON JANUARY 1, 2006 AND ARE SUBJECT TO CHANGE
WITHOUT NOTICE AT ANY TIME PRIOR TO DEPARTURE. NO PERSON OTHER THAN AN
AUTHORIZED ITS TOURS' EMPLOYEE BY WRITTEN DOCUMENT IS AUTHORIZED TO
MAKE ANY ALTERATIONS WHATSOEVER TO THE TERMS OR CONDITIONS OF ANY TOUR
OR RESERVATION. ALL ILLUSTRATIONS ARE AN ARTISTS RENDITION AND ARE FOR
ILLUSTRATION PURPOSES ONLY, AND DO NOT NECESSARILY REPRESENT SITES TO
BE VISITED BY TRAVELERS.
